Apostille on a laminated old-format certificate: what actually works

Situation

The client was preparing documents for Spain. Among them were certificates issued in the old Soviet-era format — and carefully laminated many years ago. The Spanish institution required an apostille and a certified translation.

Task

Get an apostille on documents that physically cannot receive one: Ukraine does not apostille laminated old-format certificates, because the film makes seal and signature verification impossible.

How we did it

1. An honest diagnosis first. We explained straight away: no provider can apostille a laminated old-format document. Promises to “sort it out somehow” only burn time.
2. The route that works. The solution is re-issued certificates in the current format: modern forms are issued without lamination and pass apostille certification without issues.
3. A step-by-step plan. While the client obtained the re-issued documents, we pinned down the Spanish side’s translation requirements so everything would run in a single cycle.
4. Apostille and translation of the new documents. As soon as the new certificates arrived, we arranged the apostille and prepared the certified Spanish translation.

Result

Instead of a dead end with an “impossible” apostille, the client got a working plan and a finished document package. The Spanish institution accepted everything without remarks.

Worth knowing

• Lamination is the most common trap with old-format documents. If a document may ever be used abroad, never laminate the original.
• Re-issuing a certificate in the current format is a standard procedure, not a punishment: the modern form simplifies both the apostille and the translation.
• Ukraine has no sworn-translator institution of its own, but for Spain we arrange sworn Spanish translation (traductor jurado). Where a regular certification is enough, a notarized translation from Ukraine works and costs substantially less. We’ll advise which option your institution accepts.
