Re-issued Ukrainian civil-status certificates

A re-issued Ukrainian civil-status certificate — birth, marriage, or divorce — is most often needed not because the original is lost, but because of the apostille: old-format and laminated forms don’t pass apostille certification. We handle re-issuance end to end — including when you are abroad.

When you need a re-issued certificate

The formal reason varies, but the goal is the same: the institution needs a document on the current form. The most typical situations we handle:

• The document goes abroad, but the form is old-format. The receiving institution requires a certificate with an apostille, yet Ukraine does not apostille old-format forms. There is one working route: obtain a re-issued certificate first — and have the stamp affixed to it.
• The certificate is laminated. Lamination looks like reliable protection for a document, but a laminated form does not pass apostille certification. In that case the registry issues a new copy, and the process then follows the standard route.
• The original is lost. If the document has gone missing, any further official steps will require a re-issued copy — it is printed on the current form and used exactly like the first one.
• The original is damaged. A torn, faded, or stained certificate is worth replacing: damage is as valid a ground for re-issuance as loss.

Which certificates we obtain

We obtain three types of re-issued certificates from the registry offices — and for each, the key is to establish where the civil record is kept:

• Birth certificate. The request is filed with the registry office that drew up the civil record of birth, taking into account where that record is kept today. The re-issued document comes on the current form — the kind accepted for an apostille.
• Marriage certificate. The procedure is similar: the key is to establish where the civil record of marriage is kept. If the document is headed abroad, we plan the apostille and translation right away.
• Divorce certificate. Issued on the basis of the civil record of divorce. Preliminary analysis matters most here: the procedure depends on how and when the divorce was formalized.

How it works

1. Situation review. We establish which registry issued the document and what the receiving institution needs: the certificate alone, or with an apostille and translation. This determines both the timeline and the make-up of the future package.
2. Power of attorney (if you’re not in Ukraine). A Ukrainian notary drafts the template; you certify it at a notary where you live — the full procedure here.
3. Obtaining the certificate. Our representative files the request and collects the re-issued, current-format certificate at the registry, handling all communication with the office.
4. Apostille and translation. Where needed, we immediately arrange the apostille and a notarized translation into the required language.
5. Delivery. The finished package — as scans right away, and by Nova Poshta within Ukraine or international post abroad.

Ordering by power of attorney from abroad

Your personal presence is not required at any stage — everything is arranged remotely:

1. A Ukrainian notary drafts a power-of-attorney template naming our representative.
2. You certify the PoA at a notary in the country where you currently live.
3. You send us the original PoA, after which our representative files the request with the registry and collects the re-issued certificate.

From there the document follows the usual route: apostille, translation, delivery. We keep you posted at every stage and send a scan of the new certificate as soon as it is received.

What comes next: apostille and translation

A re-issued certificate is usually only the first step. If the document is meant for another country, two more are typically needed:

• Apostille. The stamp is affixed to the new form — which is, in fact, the main reason re-issued certificates are requested.
• Notarized translation. The certificate, together with its apostille, is translated into the language of the destination country, and a notary certifies the authenticity of the translator’s signature. For urgent cases, translation takes from 2 hours.

The most convenient format is a single project: obtaining the certificate, the apostille, and the translation run without pauses between stages, and you receive a package ready for submission abroad. You can order the certificate alone, but when an apostille and translation lie ahead, it pays to plan every stage from the start.

Timing and delivery

The timeline depends on the specific registry office and on where the civil record is kept. After reviewing your situation, we give a realistic timeframe — and when an apostille and translation are needed, we plan the whole chain at once so no time is lost between stages.

• scans — immediately upon receipt;
