Legalization and apostille

Document legalization is the official confirmation of the authenticity of a document intended for use abroad. Thanks to this procedure, official documents issued in one country can be used in another. In Ukraine there are several types of legalization: apostille, double apostille, consular legalization, and apostille + consular legalization.

An apostille is a special stamp placed on documents so they can be legally used abroad. It confirms the authority of the person who issued the document, as well as their signature.

After the apostille is affixed, a translation is often required — of both the document itself and its apostille. For use abroad, the translation usually also needs to be notarized. We provide the full package: apostille, translation and notarization.

Notarization

To give a translation official status, it must be notarized. During certification, the notary checks the translator’s diploma and credentials and certifies the translator’s signature on the document. The translation is attached to the original or a copy of the document, and a notarial record is made on the back of the last page of the translation. The document is bound and signed by the translator and the notary and sealed with the state coat-of-arms seal. Note that a notary may refuse certification if the original contains erasures, corrections or added text, and to certify a copy the notary must be shown the original. These are important Ministry of Justice requirements aimed at preventing fraud and document forgery.

Obtaining a police clearance certificate

A certificate of no criminal record is a document confirming whether or not a person has a criminal record in Ukraine. For use within Ukraine, the original certificate is sufficient. However, for it to be valid in countries party to the Hague Convention (1961), an apostille must be affixed — it is placed on the back of the certificate.

Re-issuing civil registry documents (without your presence)

If your civil registry (RACS) documents are missing, you can quickly restore lost papers and obtain duplicates. In Ukraine, duplicates can be requested for the following documents:

  • birth certificate;
  • marriage certificate;
  • divorce certificate;
  • name change certificate;
  • death certificate;
  • extracts from civil registry offices.

This list is not exhaustive: Ukrainian citizens can also request additional extracts from the Register. We check the records in the State Register of Civil Status Acts and will help you obtain the extract you need.

Which documents need to be translated for immigration?

The list depends on the destination country, but the universal set looks like this: personal documents (internal passport, international passport, birth certificate) — make several copies, translate and notarize them; educational documents (school certificates, diplomas) — to confirm your qualifications, sometimes diploma recognition (nostrification) is required; employment documents (reference letters, employer testimonials); financial documents (bank statements, job offers) — to prove financial standing; family documents (marriage or divorce certificates); a police clearance certificate and a health certificate; language proficiency documents. Start collecting and translating your documents 3–6 months before submitting your application, and arrange legalization in advance.

Which documents need to be translated when immigrating with a child?

When immigrating with a child, the document package grows: the key document is the birth certificate; a notarized consent from the other parent to take the child abroad (if required); the child's educational records, if you plan to enrol them in a school or university abroad; medical records and a police clearance certificate (for children over 15).

Which documents can be re-issued at the civil registry office?

Ukrainian civil registry offices (RACS) can issue the following documents: an extract from the civil registry, a divorce record, a marriage record, a death certificate and a birth certificate.

Who can restore documents at the civil registry office?

A birth certificate can be restored by the parents or by the person named in it. A marriage certificate can be restored by either spouse or their closest relatives (children, parents). A death certificate — by close relatives of the deceased. A divorce certificate — by either former spouse or their direct relatives.

Translating immigration documents is not a mere formality — it is a critical part of proving your identity, qualifications and financial independence. Do I need to provide the original document for notarized translation?

To certify a copy of a document, the notary must see the original and nothing else: the notary makes the copy and then certifies the document with their signature and seal. Notarization is possible only when the notary has personally seen the original and verified its validity, correct execution and all required details. Documents with erasures, additions, crossed-out words or other unauthorized corrections, as well as documents written in pencil or fading ink, are not accepted — these are Ministry of Justice requirements aimed at preventing fraud and forgery. If only the translator's signature is certified without confirming the copy, or the translation is certified with the translation agency's stamp, the original is not needed — a copy, scan or photo of the document sent by email or messenger is enough.
