Notarized Translation of Income Statements

An income statement is rarely the centerpiece of an application. It backs everything else up: it shows you have something to return to, that you can afford the account or the mortgage, that a sponsor can genuinely support the relative they are inviting. That is why its translation is usually ordered as part of a package — and why the two most common ways to lose time here are submitting the wrong document and letting the issue date expire.

Where translated income statements are submitted
- Visa applications — national and long-stay D visas, visitor and tourist visas, where the certificate proves solvency and ties to home.
- Sponsorship — when you financially guarantee a relative’s trip or studies and add your income to their visa file.
- Foreign banks — account opening, loans and mortgages: the strictest translation requirements of all.
- Scholarships and financial aid — universities ask for proof of family income to calculate the size of a grant.
- Residence permits — extending or changing the grounds of stay almost always includes proof of means of subsistence.
”Income certificate” is not one document but several
In Ukrainian practice, several different papers hide behind one name, and it is the receiving institution — not the applicant — that chooses between them. Before ordering or translating anything, find the exact wording in its checklist and match the document to it:
- an employer certificate stating position, hire date and salary — the standard option for employees;
- an income certificate from the State Tax Service — a tax form that can be generated online via the taxpayer e-cabinet; often requested in addition to the employer letter;
- OK-5 or OK-7 forms from the Pension Fund — a record of social security contributions; suitable for pensioners and anyone who needs to show official employment history;
- a tax declaration — the primary proof of income for private entrepreneurs (FOP), who have no employer to write them a letter;
- a bank statement — usually a companion to one of the certificates above, not a standalone substitute.

Shelf life: the 30 days that decide everything
Financial certificates have a property that birth certificates and diplomas do not: they age. Embassies and banks typically expect a document issued within the last 30 days before submission — though individual institutions set their own limits, so verify the exact figure with the recipient.
Hence the correct order of steps:
- Find out your submission date.
- Obtain a fresh certificate as close to that date as possible.
- Send us the scan immediately — the certified translation is ready from 2 hours.
The mistake we see most often: someone translates a certificate “in advance” a couple of months before submission — and then pays for both a new certificate and a new translation.
Where you can save: bureau stamp instead of a notary
For an income statement, the certification level is a real money decision, not a formality. There are two options:
- Bureau certification — UAH 100 per document. Sufficient for a large share of embassies and visa centers: in their requirements this usually appears as “certified translation”.
- Notarization — UAH 400 per document. Choose it only when it is named explicitly — most often by banks, mortgage lenders and certain immigration programs.

An apostille on financial certificates is usually not required in visa files. But “usually” is not “never”: some countries and procedures do require it. The route then depends on the document: certificates issued by state bodies are apostilled by the Ministry of Justice, while an employer letter is first notarized and only then apostilled. Why banks reject translations — and how we prevent it
A financial document is scrutinized more closely than any other, because it consists of numbers. Our rules for working with income certificates:
- every amount, currency and date is transferred to the translation exactly — no rounding, no “adaptation”;
- the employer’s letterhead is translated in full — company name, EDRPOU registration code, address, phone numbers, and the signatory’s position and full name: banks reject partial translations;
- the spelling of your name is checked against your international passport so the certificate matches the rest of your file;
- stamps and seals are described in the translation, never skipped.

How long is an income statement valid for submission abroad?
