A notary in Warsaw, Berlin or Toronto sees Ukrainian documents on the desk more and more often: a client needs a power of attorney for use in Ukraine, presents a Ukrainian birth certificate, or brings the corporate file of a Ukrainian company. Each of these needs a translation that the notarial act can safely rely on — and often an apostille from Ukraine that the client cannot easily obtain on their own.

MovaPro has been working with documents for notarial acts since 2012, from our office in central Kyiv at 9 Yaroslaviv Val St., near Zoloti Vorota metro. For notarial offices abroad, we act as the Ukrainian side of the process.

What we do for notarial offices

  • certified translation of Ukrainian documents presented for notarial acts: passports, powers of attorney, statements, civil status certificates, corporate documents;
  • translation of notarial deeds executed abroad into Ukrainian — powers of attorney, consents and declarations your clients sign for use in Ukraine, so they are accepted by Ukrainian notaries, banks and registries;
  • the full chain on the Ukrainian sideapostille on Ukrainian originals or notarized copies, notarized translation in Kyiv, delivery by international courier: your client does not have to fly back to Ukraine;
  • translation of Ukrainian corporate documents — registry extracts, charters, shareholder resolutions — when a Ukrainian company is a party to the transaction;
  • formatting guidance — we advise how Ukrainian authorities expect a document executed abroad to be certified: apostille, bilingual notarial certificate, certified copy.

How cooperation works

  1. Introduction and agreement. We sign a framework agreement and agree on rates and turnaround — a one-time procedure handled entirely by email.
  2. Request by email or messenger. You send a photo or scan of the document and receive the cost and timeline within 15 minutes.
  3. Delivery. A standard document is translated the same day. Scans go out by email; hard copies with notarization and apostille are shipped by international courier with tracking.
  4. Billing. Payment by bank transfer against an invoice; for regular orders — one consolidated invoice per month.

Referrals work both ways

The partnership runs in both directions. Our clients in Ukraine regularly need notarial acts performed abroad — powers of attorney, consents, certified copies for Poland, Germany, Canada and the USA — and we refer them to partner offices in their city. Your clients, in turn, come back to you with a correctly certified Ukrainian document instead of a translation of unknown origin that cannot support a notarial act.

Many offices work with us on exactly this model: no in-house Ukrainian translator, but a reliable Ukrainian-language resource one message away.

Why notarial offices choose MovaPro

  • 437 certified translators — including for language pairs that are hard to source locally;

  • our own office in central Kyiv for everything that must happen in Ukraine: apostille, notarization, collecting originals.

Frequently asked questions

Will your translation be accepted for a notarial act in my country?

We prepare the translation in the format the receiving side requires: notarized in Ukraine with a bilingual notarial certificate, apostilled, or certified with the agency seal. Where local law requires a sworn translator (as it often does in Poland and Germany), we tell you upfront and prepare the Ukrainian-side documents so the sworn translation goes smoothly.

How quickly do you respond to requests?

During business hours (Kyiv time) a manager replies within 15 minutes by email or messenger. A quote with cost and turnaround follows within 15 minutes of receiving the document. Partner offices get a priority line: their requests are handled out of turn.

Can you handle the full chain for a Ukrainian original — translation, notarization, apostille?

Yes, that is the core of the service. Your client does not have to travel to Ukraine: we obtain the apostille on the Ukrainian original or a notarized copy, translate the document, have the translation notarized in Kyiv and send the ready package by international courier with tracking.

Do you work under contract with offices outside Ukraine?

Yes. We sign a framework agreement, issue invoices payable by bank transfer and can consolidate billing monthly — one invoice for all orders of the month. Rates are set in UAH, which usually makes them noticeably lower than local translation rates in Western Europe or North America.
