Notarized translation of a marriage certificate

Of all Ukrainian civil-registry documents, the marriage certificate is the one that most often lives an “international” life. It is the only document that proves a couple’s family status, so the moment a family crosses a border — one spouse leaves for work, the other follows, an employer arranges relocation — this is the document that gets translated and notarized. Often more than once: for the consulate, for the migration authority, for the employer.

Who needs it and why: four typical routes for this document
Spouse visas and family reunification. Poland, Germany, and the Czech Republic let a worker’s family members obtain residence permits on the basis of marriage; Canada runs spousal sponsorship, and the US has immigration categories for the husband or wife of a citizen. The program names differ everywhere, but the core requirement is the same: the consulate needs official proof of marriage with a certified translation, and the dates and names in it are cross-checked against the entire application package.
An employer’s relocation package. When a company moves an employee together with the family, insurance, housing, and the visa for the other spouse are all arranged on the basis of a confirmed marriage. HR departments usually ask for a translation into English or into the language of the destination country.
Proof of a name change. After the wedding, the surname in new documents stops matching the surname in the diploma, employment records, or bank files. The one document that explains this discrepancy to an institution is the marriage certificate. It is often submitted as a pair with the birth certificate, to show the full chain from maiden name to current name. If this is not a first marriage, the package may also need a translation of the document dissolving the previous one.
Property and inheritance matters. A property purchase by spouses, inheritance from a husband or wife, prenuptial agreements — foreign notaries and courts accept a Ukrainian document only with a certified translation.
The surname that is not in any passport yet
In most translations we simply repeat the spelling from the international passport. With a marriage certificate that does not always work: the new surname has only just come into existence, and no passport with it exists yet. In that case the translation has to anticipate the future spelling.
Practical advice: settle the Latin spelling once — under Ukraine’s current official transliteration rules, which the State Migration Service will use to issue the new passport — and then stick to it everywhere: translations, tickets, bank cards. If the passport application has already been filed, send us the spelling from it. Apostille: the stamp first, the translation second
Ukrainian civil-registry certificates are apostilled by the Ministry of Justice of Ukraine, and the sequence here is critical: the apostille goes on the original before the translation — then the stamp is translated together with the document. Some countries additionally require an apostille on the notarized translation itself, the so-called double apostille; whether you need one depends on the country and the institution, so it is worth clarifying before you file. Three specifics that marriage-certificate holders in particular run into:
- “Marriage in 24 hours” certificates — Ukraine’s fast-track wedding program — are ordinary civil-registry documents: issued under a simplified procedure, they are apostilled and translated just like all the others.
- Soviet-era forms are valid and are translated from Russian, but they cannot be apostilled — for an apostille, a re-issued certificate is obtained first.
- A re-issued certificate is produced by the civil registry on the basis of the civil record; the application can be filed through Diia, Ukraine’s government services app. We handle obtaining re-issued certificates by power of attorney — convenient if you are already abroad.
If a marriage to a foreigner is registered in Ukraine
Here the documents move in the opposite direction: the foreigner’s passport and certificate of no impediment to marriage are translated into Ukrainian, and the translation is notarized. Then, after the registration, the Ukrainian certificate is prepared for your spouse’s country if needed. Frequently asked questions
Who apostilles a Ukrainian marriage certificate, and when should it be done?
Civil-registry certificates are apostilled by the Ministry of Justice of Ukraine. It must be done before the translation: first the apostille goes on the original, then the document is translated together with the stamp, and only after that is the translation notarized. If the document is translated earlier, the apostille stamp stays untranslated, and the foreign institution may return the whole package. The state fee for the apostille is paid separately; check the current amount with the Ministry of Justice or with our manager.
We married under the "Marriage in 24 hours" program. Will such a certificate be accepted abroad?
Yes. Certificates issued under this fast-track registration procedure are ordinary civil-registry documents on the standard form, and they are apostilled and translated exactly like those issued the regular way. The foreign institution will not see a difference, because there is none: the legal force of the document is the same.
I took my husband's surname after the wedding, but my international passport still shows my maiden name. How should the surname be written in the translation?
This is the single most important question for a marriage certificate. If the application for your new international passport has already been filed, send us the spelling from that application — the translation must repeat it. If not yet, we transliterate the new surname under Ukraine's current official transliteration rules, the same rules by which the passport will be issued. The key is to fix one Latin spelling and use it in every document: institutions treat even a one-letter discrepancy as data belonging to two different people.
My fiancé is a foreigner and we are marrying in Ukraine. What needs translating?
In this case the document flow runs the other way: it is the foreigner's documents that are translated into Ukrainian — the passport and the certificate of no impediment to marriage (proof of marital status) — with notarized translation. You receive the Ukrainian marriage certificate after the registration, and if needed we then translate it for your spouse's country. We handle both directions in one office.
The marriage certificate is Soviet-era or lost. What should we do?
Soviet-era certificates remain legally valid and are fine for translation — we translate them from Russian, including transcriptions of the seals. However, old-format forms cannot be apostilled, so for countries that require an apostille, a re-issued certificate is obtained first. The civil registry issues it on the basis of the civil record; the application can be filed through the Diia app, and if you are abroad, we can obtain the re-issued document by power of attorney.
Do we need to translate the birth certificate together with the marriage certificate?
Very often — yes. Institutions verifying a name change want to see the whole chain: the maiden name in the birth certificate, the marriage as the ground for the change, the new surname in the passport. That is why these two documents are usually ordered together — and we cross-check the transliteration of names between them so the package reads consistently.
