Smartcat: real-time collaborative translation
Updated:
Smartcat is a cloud translation platform built around collaboration: translators, the editor, and the project manager work in one online environment at the same time — no software installs, no file ping-pong. At MovaPro we use Smartcat where a fast start and parallel work by a large team matter most.
What Smartcat does
- One project — the whole team. Text is distributed among translators automatically; everyone sees the shared translation memory and glossary. The editor joins as soon as the first pages are ready.
- Translation memory and terminology. The professional standard: identical sentences come from the database, approved terms are highlighted, repetitions are not billed at the full rate.
- Browser-based work. No licenses or installs on the contractor side — a 200-page project with a team of five specialist translators launches in a few hours.
- Built-in QA. Numbers, tags, omissions, glossary compliance — the system watches the details, a human editor does the final read, and Xbench runs the control pass.
Why it matters to you
Urgent large projects without quality loss. The classic “fast or good” dilemma appears when text is split between translators without a shared database. In Smartcat the team works in one translation memory, so even a document divided among five translators reads as one voice — and the deadline shrinks dramatically.
A transparent process. The manager sees progress segment by segment and manages the queue in real time: if you need one section earlier, it gets done earlier.
Toolchain flexibility. We are not married to any single platform: for your project we choose the best fit — Trados, memoQ, Phrase, XTM, or Smartcat — and move your translation memory wherever it is needed.
How we work in Smartcat
- No-install start — the cloud project spins up immediately: files, translation memory, and glossary are in play the same day.
- A team sized to the deadline — as many subject-matter linguists join a large volume as it takes to make the date.
- Editing on the heels of translation — the editor proofreads finished sections while the next ones are still being translated, saving days on big documents.
- Automated checks + a human finish — Smartcat’s QA module catches the small stuff; the editor makes the final call.
- Files exactly as they were — the source format is preserved, and the approved translation memory stays yours.

Frequently asked questions
How is Smartcat different from Trados or memoQ?
The principle is the same — translation memory, glossaries, QA. The difference is the format: Smartcat is fully cloud-based and needs no installation, so a project with a large team launches within hours. We pick the platform for the task; accumulated translation memory transfers between systems.
Do the translator and editor really work at the same time?
Yes. The editor can proofread the first chapters while translators are still working on the last ones — in the same project, against the same memory. On urgent multi-page orders this cuts days off the deadline.
Is it safe to keep documents in the cloud?
Only the assigned team members can access a project, and it is closed after delivery. We sign NDAs on request, and for especially sensitive documents we offer a workflow without cloud systems — discuss it with your manager before the start.
